1. Overview

Medical Massage of Tulsa LLC (“Medical Massage of Tulsa,” “MMoT,” “we,” “our,” or “us”) provides in-home massage services facilitated through our website and participating licensed massage therapists.

This Refund & Returns Policy explains how booking deposits, cancellations, rescheduling, no-shows, therapist cancellations, travel fees, and refunds are handled.

This Policy should be read together with our Terms & Conditions and Privacy Policy.

If this Policy conflicts with appointment-specific terms presented and accepted at booking, the more specific terms applicable to that appointment will generally control, subject to applicable law.

2. No Physical Product Returns

Medical Massage of Tulsa currently provides services and does not ordinarily sell physical merchandise through the Website.

Because no physical product is being purchased, there are generally no products to return or exchange.

If MMoT begins selling physical products in the future, a separate return policy may apply to those purchases.

3. Booking Deposit

A booking deposit equal to forty percent (40%) of the listed session price is required when submitting an appointment request.

The deposit is credited toward the total price of the appointment.

The booking deposit is generally non-refundable once the appointment has been confirmed, except in the specific circumstances described in this Policy.

Payment of a deposit does not by itself guarantee that the requested appointment has been accepted. The selected Therapist must review and confirm the appointment request.

4. Appointment Requests That Are Not Confirmed

If the selected Therapist cannot accept the appointment, does not confirm the appointment, or is otherwise unavailable, Medical Massage of Tulsa may offer:

  • another Therapist;

  • another appointment time;

  • rescheduling with the originally selected Therapist; or

  • another reasonable booking option.

The Client is not required to accept a substitute Therapist or alternate appointment.

If the requested appointment cannot be confirmed and the Client declines the alternatives offered by MMoT, the booking deposit will be refunded.

5. Rescheduling With Sufficient Notice

Clients may reschedule an appointment without forfeiting their booking deposit by providing notice at least two (2) Business Days before the scheduled appointment start time.

For purposes of this Policy, Business Days are Monday through Friday.

When sufficient notice is provided, the existing deposit may be transferred to a replacement appointment.

The same deposit may be transferred more than once provided that each change is requested with the required notice.

After a qualifying cancellation or rescheduling request, the deposit must be applied toward a replacement appointment within thirty (30) days.

If the Client does not book a replacement appointment within thirty (30) days, the deposit expires unless MMoT approves an exception.

Rescheduling does not guarantee availability of the same Therapist, appointment time, or date.

6. Late Cancellations

Appointments cancelled or rescheduled less than two (2) Business Days before the scheduled appointment start time are considered late cancellations.

For a late cancellation:

  • the booking deposit is forfeited;

  • the deposit will not ordinarily be refunded; and

  • the deposit will not ordinarily be transferred to another appointment.

MMoT may make exceptions at its discretion for circumstances such as:

  • illness;

  • emergency;

  • severe weather;

  • dangerous road conditions;

  • power outages;

  • natural disasters; or

  • other circumstances MMoT considers appropriate.

Approval of an exception in one situation does not require MMoT to approve an exception in another.

7. No-Shows

A Client may be considered a no-show when the Therapist arrives at the agreed location and, for fifteen (15) minutes after the scheduled appointment start time, is unable to reasonably access the location or contact the Client or Service Recipient.

Examples include:

  • no one answering at the property;

  • failure to respond to reasonable telephone calls or messages;

  • the Service Recipient not being present;

  • incorrect or unusable access instructions;

  • failure to provide access to a gated or secured property; or

  • otherwise being unavailable to begin the appointment.

A no-show is responsible for the full appointment price.

The booking deposit will be retained and applied toward that amount.

MMoT may invoice the Client for any remaining unpaid balance.

Clients with unpaid balances may be prevented from making additional appointments until the balance has been resolved.

MMoT may waive or modify a no-show charge when it determines that the circumstances justify an exception.

8. Client Delays and Appointment Readiness

Therapists ordinarily arrive approximately fifteen (15) minutes before the scheduled massage time so they can bring in equipment and prepare the treatment area.

Clients are responsible for providing reasonable access and having the treatment area ready.

Client-caused delays may reduce the amount of hands-on massage time available.

Examples include:

  • the treatment space not being cleared;

  • pets not being secured;

  • the Client not being ready;

  • unresolved access or parking issues;

  • other people remaining in the treatment room;

  • furniture needing to be moved; or

  • other conditions that delay setup or the start of the session.

Reduced session time resulting from a Client-caused delay does not ordinarily qualify for a refund or price reduction.

9. Client Ends the Session Early

If the Client or Service Recipient voluntarily chooses to end a massage early for reasons unrelated to Therapist misconduct, a Therapist-side problem, or another refund-eligible circumstance, the full session price remains due.

Unused session time is not refundable and cannot ordinarily be transferred to another appointment.

Clients always retain the right to ask that a massage be stopped.

Choosing to stop the massage does not, by itself, create a right to a refund.

10. Therapist Cancellation

If the Therapist cancels or becomes unable to provide a confirmed appointment, MMoT may offer:

  • a replacement Therapist;

  • a different appointment time;

  • rescheduling with the same Therapist; or

  • a refund.

The Client is not required to accept a substitute Therapist.

If the Client declines a substitute Therapist or reasonable rescheduling option after the original Therapist cancels, amounts paid to MMoT for the affected appointment may be refunded in full.

11. Therapist Delay

If a Therapist is late for reasons attributable to the Therapist, the Client should still receive the full booked massage time.

Depending on availability and circumstances, the appointment may:

  • begin later and run later; or

  • be rescheduled.

If the full scheduled massage cannot reasonably be provided because of Therapist delay, MMoT will work with the Client to determine an appropriate remedy.

12. Session Interrupted Because of a Therapist-Side Issue

If a massage must end early because of:

  • Therapist illness;

  • equipment failure;

  • emergency;

  • Therapist-side safety issue not caused by the Client; or

  • another circumstance attributable to the Therapist,

MMoT may provide, depending on the circumstances:

  • a proportional refund;

  • a full refund;

  • an account credit;

  • rescheduling; or

  • another reasonable remedy.

MMoT will make these determinations in good faith based on the circumstances of the appointment.

13. Travel Fees

Appointments outside Tulsa city limits may be subject to an additional travel fee determined by the Therapist.

Any applicable travel fee must be disclosed to the Client before the Therapist confirms the appointment.

If the Client does not agree to the travel fee before confirmation, the Client may decline the appointment and receive a refund of the booking deposit.

Once the travel fee has been accepted and the appointment confirmed, the appointment becomes subject to the ordinary cancellation and no-show rules.

Travel fees are generally collected directly by the Therapist at the appointment.

14. Parking, Valet, Entry, and Property Access Fees

When an appointment is held at a hotel, office, apartment building, short-term rental, assisted-living facility, hospital, or other property with access-related costs, the Client is responsible for reasonable charges associated with providing access to the appointment.

These may include:

  • parking;

  • valet;

  • building access;

  • entry fees; or

  • similar property-related charges.

Such expenses may be added to the amount due to the Therapist.

Expenses already reasonably incurred because of the Client’s selected location are not ordinarily refundable.

15. Unsafe or Inappropriate Appointment Conditions

Therapists have the right to refuse to enter, refuse to begin, or immediately terminate an appointment when they reasonably believe the location, conduct, or circumstances are unsafe, inappropriate, unlawful, or professionally unacceptable.

Examples may include:

  • uncontrolled or aggressive animals;

  • serious sanitation concerns;

  • pests or infestations;

  • dangerous property conditions;

  • intoxication;

  • threatening behavior;

  • unsecured weapons;

  • criminal activity;

  • sexual requests or misconduct;

  • harassment;

  • inappropriate exposure; or

  • other serious safety or professional-boundary concerns.

If the appointment cannot proceed because of a condition created by or reasonably within the Client’s control, the booking deposit may be forfeited.

In serious cases, MMoT may determine that additional amounts, up to the full appointment price, remain due.

These circumstances generally do not qualify for a refund.

16. Sexual Misconduct, Harassment, or Abuse

Medical Massage of Tulsa provides professional therapeutic massage only.

Sexual services are never offered.

If a Client engages in sexual misconduct, sexual requests, intentional inappropriate exposure, inappropriate touching, threats, harassment, abuse, violence, or other serious misconduct, the Therapist may immediately end the appointment and leave the property.

In such circumstances:

  • the booking deposit may be forfeited;

  • the full appointment price may remain due;

  • the Client may be prohibited from future bookings; and

  • no refund is ordinarily provided.

MMoT may also take additional action permitted by its Terms & Conditions or applicable law.

17. Illness, Emergencies, and Severe Weather

MMoT understands that unexpected events occur.

MMoT may, at its discretion, waive cancellation penalties, transfer a deposit, reschedule an appointment, or provide another reasonable accommodation in circumstances involving:

  • illness;

  • family emergency;

  • severe weather;

  • dangerous travel conditions;

  • power outages;

  • natural disasters; or

  • other circumstances beyond the parties’ reasonable control.

Such exceptions are determined individually and are not guaranteed.

18. Refund Authority

Only Medical Massage of Tulsa or a person expressly authorized by MMoT may approve:

  • refunds;

  • MMoT credits;

  • deposit exceptions;

  • cancellation-fee waivers; or

  • other exceptions to this Policy.

Participating Therapists may communicate concerns to MMoT but cannot promise an MMoT refund, credit, or policy exception unless they have been expressly authorized to do so.

19. How Refunds Are Issued

Approved refunds will generally be returned to the original payment method used to make the booking deposit when reasonably possible.

Actual posting times depend on the payment processor, financial institution, card issuer, and other third-party systems involved.

MMoT does not control how quickly a bank or payment provider posts an approved refund after MMoT submits it.

If refunding to the original payment method is not reasonably possible, MMoT may arrange another appropriate refund method.

20. Payments Made Directly to a Therapist

The remaining appointment balance, travel fees, optional gratuities, and certain other charges are generally paid directly to the Therapist rather than to MMoT.

If a dispute concerns money paid directly to a Therapist, the Client should notify MMoT so the issue can be reviewed.

MMoT may assist in attempting to resolve the matter but does not necessarily possess or control funds paid directly to an independently practicing Therapist.

Nothing in this section limits any responsibility MMoT may have under applicable law.

21. Chargebacks and Payment Disputes

Clients are encouraged to contact MMoT before initiating a payment dispute or chargeback so that MMoT has a reasonable opportunity to investigate and resolve the issue.

Filing a chargeback does not automatically eliminate amounts properly due under the agreed cancellation, no-show, or service terms.

MMoT may provide relevant booking, payment, cancellation, communication, and appointment records to its payment processor or financial institution when responding to a chargeback.

Fraudulent or abusive chargebacks may result in suspension of future booking privileges.

22. No Gift Cards, Memberships, or Prepaid Packages

Medical Massage of Tulsa does not currently offer:

  • gift cards;

  • memberships;

  • subscription plans;

  • prepaid massage packages; or

  • promotional credits requiring separate refund rules.

If these products are introduced in the future, additional terms may apply.

23. Policy Changes

MMoT may update this Refund & Returns Policy from time to time to reflect changes in:

  • business operations;

  • booking procedures;

  • Therapist operations;

  • pricing;

  • payment systems;

  • cancellation procedures;

  • legal requirements; or

  • other legitimate business needs.

Changes will be posted on medicalmassageoftulsa.com with a revised effective date.

Unless otherwise required by law, the refund and cancellation terms accepted at the time of an already-confirmed appointment will ordinarily continue to govern that appointment.
